Privacy Policy

This Privacy Policy explains how proFILE Inc. (“proFILE,” “we,” “us”) collects, uses, and protects information when you use proFILE.

1. Information we collect

• Account information: name, email address, password (stored hashed), and role (owner, shop, or admin).
• Vehicle information: VIN, make, model, year, and service history you or an authorized shop add.
• Uploaded documents: invoices, receipts, and related records or photos you or a shop upload.
• Identity verification data: when you verify vehicle ownership, we use Stripe Identity to process a government-issued ID and a matching document (title, registration, or insurance declaration). We do not store your ID images ourselves; this is handled by Stripe Identity under its own privacy terms.
• Payment information: shop credit purchases are processed by Stripe. We do not store full card numbers.
• Usage information: standard technical logs (IP address, browser, timestamps) for security and debugging.

2. How we scrub personal information from documents

Every document uploaded to proFILE is processed through an automated pipeline that removes personally identifiable information (names, addresses, phone numbers, and financial details) before a version of that document is ever shown to an owner or buyer. The original, unscrubbed document is retained in a separate, restricted internal store and is not exposed through any owner-facing or public feature. This is also why, when a vehicle changes hands, a prior owner’s personal information does not appear in the record available to the new owner or to buyers.

3. How we use information

We use collected information to operate the service (maintain vehicle profiles and timelines, process document uploads, process payments, verify ownership), to communicate with you (account notifications, invite and transfer emails), to maintain security, and to comply with legal obligations. We do not sell your personal information.

4. Sharing and service providers

We share information with service providers strictly as needed to operate proFILE, including: Supabase (database, authentication, and file storage), Stripe and Stripe Identity (payments and ownership verification), Anthropic (automated extraction and PII scrubbing of uploaded documents), Trigger.dev (background job processing for document handling), and Resend (transactional email delivery). These providers are only permitted to use your information to provide services to proFILE.

5. Public and buyer-facing profiles

Vehicle profiles shared via a proFILE link show the vehicle’s timeline, tenure dates for prior owners, and scrubbed documents only. We never expose original (unscrubbed) documents, prior owners’ names, or unconfirmed extracted data through a shared link.

6. Data retention

We retain account and vehicle history information for as long as the associated account or vehicle profile is active, since a vehicle’s history is designed to persist across ownership changes. You may request deletion of your personal account information by contacting us, subject to records we are required to retain for legal, tax, or security purposes.

7. Your rights

Depending on your location, you may have rights to access, correct, or request deletion of your personal information. Contact us at the address below to make a request.

8. Children’s privacy

proFILE is not directed to children under 18, and we do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date above.
